KYC / AML

Know Your Customer, or KYC, is the process through which a financial institution identifies a client and understands the relationship. Anti-Money Laundering, or AML, refers to the wider controls used to detect and prevent money laundering and related financial crime. Together, they can involve identity checks, beneficial ownership, source of wealth, source of funds, risk assessment, screening, and ongoing monitoring.

Exact obligations depend on the institution, service, client type, and jurisdiction. A bank may therefore request information that another provider did not. Approval at onboarding is not permanent, because changes in ownership, residence, activity, or risk can trigger a refresh.

Why it matters for family offices

Family structures can be difficult for an external reviewer to understand. A trust may own a holding company that subscribes to a fund, while the economic wealth originated from the sale of a business years earlier. If records are incomplete, a legitimate transaction can be delayed while the institution reconstructs that chain.

The office maintains current identity documents, registers, trust extracts, organisation charts, tax residence details, and evidence explaining how wealth and a particular payment arose. Privacy remains important, so documents should be shared securely and only with authorised recipients. Good records reduce friction but do not guarantee acceptance, since each institution applies its own legal duties and risk appetite.

How it shows up in practice

Suppose a family holding company wants to commit $5 million to a private fund. The fund administrator asks for directors, beneficial owners, trust information, source of wealth, and the bank account from which capital calls will be paid. The office supplies a dated ownership chart linking the company to its trusts and controlling persons, along with evidence of the original business sale and current bank funds.

During review, one trustee has changed since the last onboarding. The office provides the appointment and retirement documents rather than altering the chart without support. The fund completes its checks, and the office records what was shared and when it must be refreshed. This turns repeated KYC requests into a controlled process rather than an urgent search through adviser inboxes.

Ultimate Beneficial Owner (UBO)

The natural person who ultimately owns or controls an entity, looking through all intermediate companies, trusts, and nominees. Regulators worldwide require UBO identification and, in many jurisdictions, registration. For families with layered structures, maintaining an accurate, current map of beneficial ownership is both a compliance duty and a governance necessity.

Entity Management

The administration of the companies, trusts, partnerships, and foundations through which a family holds its wealth. It covers ownership records, directorships, filings, and the relationships between entities. Because UHNW structures routinely span multiple jurisdictions and generations, software that models complex ownership hierarchies has become indispensable to family offices.

Wealth Structuring

The design of the legal and tax architecture through which a family holds its assets, encompassing trusts, holding companies, foundations, insurance solutions, and jurisdictional choices. Good structuring balances tax efficiency, asset protection, succession goals, and regulatory compliance. It determines the entity framework that a family office must then administer and report on.

Family Wealth Protection

The combination of legal structures, insurance, security measures, and governance practices that shield family wealth from external and internal threats. External risks include litigation, creditors, fraud, cybercrime, and political instability; internal risks include divorce, disputes, and mismanagement. Protection strategies work best when designed before problems arise, not in response to them.
